WHATSAPP FOR BUSINESS · PRACTICAL GUIDE

Why WhatsApp belongs in your business communication strategy

Understand the role of WhatsApp in customer enquiries, sales and support, and how to make each conversation useful to your business.

Start with the conversation your customer wants to have

A customer who already uses WhatsApp can ask about a product, clarify an offer or request help through a familiar conversation. They can read your answer when they are ready and return with another question. This makes messaging useful alongside calls and email.

For a business, that conversation can reveal what a customer needs, what is preventing a purchase or what remains unresolved. Give WhatsApp a clear role in your customer communication plan, with someone responsible for answering and following through.

Make it clear what customers can do on WhatsApp

Tell customers whether they can ask about products, request a quote, arrange a service or get help with an existing purchase. Explain when your team is available and what will happen if a request needs another department.

Consider an illustrative installation business. A prospect asks about availability, shares their requirements and requests a quote. After becoming a customer, they may use the same channel to ask about the installation. The team needs to recognise the change from sales enquiry to service work and give each request the right owner.

Connect the conversation to an action

A useful reply may still leave work to do. An adviser needs to prepare an offer. A service team needs to arrange a visit. An agent needs to confirm an answer with another colleague. Each action needs a record, a responsible person and an agreed next step.

GoDesk connects WhatsApp conversations to customer records, sales opportunities, quotes, support tickets and tasks. Choose the modules your team needs so that a message can lead to tracked work, and the next person can see the relevant history.

Use the right channel for the next part of the discussion

Some questions are easier to explain on a call. Some documents are better sent by email. WhatsApp can still be where the conversation begins or where the customer asks for an update. Plan how your team moves between those channels while keeping the customer’s context.

GoDesk brings supported calls and messages into a chronological customer timeline. Link interactions to the correct record during setup so an agent can find the earlier enquiry when the same customer calls or emails.

Keep outreach relevant and welcome

An incoming enquiry and an outbound campaign have different purposes. Reply to the customer’s question clearly. For outreach, choose a relevant audience and a message that explains why the contact is useful to them.

WhatsApp requires recipient permission for subsequent contact and approved templates for business-initiated conversations. Respect opt-out requests. GoDesk message campaigns let teams use customer data to select audiences, personalise supported content, test drafts, schedule sending and route replies. Plan those tools around the agreed contact preferences.

Measure what the conversation achieves

Look beyond how many messages were sent. Review whether enquiries had an owner, whether promised follow-up happened, whether opportunities moved forward and whether support issues reached resolution. Use the records and reporting available for the modules in your deployment.

Before changing your process, establish a baseline. Review a sample of enquiries and ask how many required a customer to chase an answer, how many became a quote and how many remained unfinished. Repeat that review after the team starts using the new workflow. It gives you a practical way to judge value without assuming a guaranteed result.

Start with one useful customer journey

Choose a common journey, such as a product enquiry becoming a quote or a service question becoming a ticket. Agree the owner, the information to capture and the next step. Test the process with your team before adding more campaigns or automation.

Bring that example to a GoDesk demonstration. You can see how WhatsApp works with your calls, customer records and everyday tasks, then plan the account and number connection around your current setup.
