Better customer experience on WhatsApp starts with a team that can follow through

Give WhatsApp support requests an owner, keep the customer’s history and follow issues through to resolution with a shared team workflow.

The first answer sets the expectation

A customer asking for help wants to know that the business understands the request and will do something useful with it. A quick reply can help, but its value depends on what follows. Explain the next step and when the customer should expect an update.

In an illustrative repair business, a customer asks when an engineer will arrive. The agent needs to establish the request, find the relevant record and agree who can confirm the appointment. A vague acknowledgement leaves the customer waiting for an answer the team has not yet organised.

Give the conversation a clear owner

When several people handle messages, agree who is responsible for each conversation. The owner should know whether they can resolve it, need to create a ticket or must ask another team to act. A colleague taking over needs enough information to continue.
