Signing in and your status

How to activate your account, sign in to your workspace, check in, take breaks and check out, and what each status means for the calls and chats that reach you.

Your workspace address

Every organisation using GoDesk has its own workspace address, in the form yourcompany.godesk.co.ke. Your administrator or supervisor will tell you yours. Bookmark it, because you always sign in there.

Your email address belongs to that workspace. If you work for two organisations on GoDesk, each one has its own address and its own sign-in.

Activate your account the first time

When your administrator adds you, GoDesk sends you an email with an activation link.

Open the link. The page says Activate your account and asks you to set a password of at least 8 characters.

Set your password. GoDesk shows Account activated! and takes you into your workspace.

If you cannot find the email, check your spam folder, then ask your administrator to send a new link.

Sign in

Go to your workspace address. On the Sign in page, enter your Email address and Password, then select Sign in.

You can select the eye icon to show the password while you type it.

You stay signed in on that browser for up to 30 days. If you do not use GoDesk for 7 days, you are asked to sign in again.

Too many wrong attempts in a short time are blocked for a minute. Wait, then try again carefully.

If you forget your password

Select Forgot password? on the Sign in page, enter your Email address and send the request.

GoDesk emails you a reset link. It works for one hour. Open it, enter your New password and Confirm password, and save.

Setting a new password signs you out of GoDesk on every other computer and phone, so you may need to sign in again elsewhere.

To change a password you still know, open My Profile (select your name or picture in the side menu) and use Change Password.

Check in and your status

Your status decides whether calls and chats can reach you. You see it at the top of the screen, and in some workspaces under your name in the side menu.

If your workspace uses workforce management, you start each session as Not checked in. Calls, chats and campaign dialling will not reach you until you select Check in. Without workforce management you are available as soon as you sign in.

Available means calls and chats can reach you. On a call and Wrap-up are set for you while you talk and while you finish the call notes. During wrap-up no new calls are put through to you.

If you check in when you have no shift on the roster, GoDesk may warn you. Select Check in anyway if you are meant to be working, and the time counts as overtime. Some workspaces block this, in which case ask a supervisor to change the roster.

If your team has handover notes from the last shift, a line above your work shows how many there are. Select it to read them.

Breaks and Busy

Open the status menu while you are Available and choose a reason under Take a break. Your administrator sets the list of break reasons, and some have a time limit shown beside them.

While you are on a break, calls, chats and campaign dialling are paused and a timer shows how long you have been away. If you go over the limit, the bar turns red.

Select I’m back to become available again.

If you choose a break during a call, the menu says Break after this call. The break starts once the call and its wrap-up are finished.

Choose Busy when you need a moment without calls or chats but are not on a break.

Your workspace may limit how many people in a team can be on a break at once, or ask a supervisor to approve breaks. If so, GoDesk offers Join the queue or Ask for approval, and tells you when you can start.

If you do not touch the keyboard or mouse for a while (15 minutes unless your workspace changed it), GoDesk sets you to Idle and pauses calls and chats. Select I’m back when you return.

Check out and sign out

At the end of your shift, choose Check out… from the status menu. You can write an optional handover note for the next shift, then select Check out.

Checking out stops calls, chats and campaign dialling and hands your open work over to your team. You stay signed in to GoDesk.

To leave GoDesk completely, select the Log out icon at the bottom of the side menu. Signing out also sets you offline.

If you close the browser without checking out, GoDesk notices after a few minutes and marks you offline with the reason Connection lost.

If something does not work

If your email or password is not accepted, make sure you are on your own workspace address, then use Forgot password?. If the reset email never arrives, your administrator can send you a new link.

If you are checked in but no calls or chats arrive, check that your status says Available and not Busy, Idle or a break.

If GoDesk is open in more than one tab, only one tab runs your phone and status. The other tab shows a notice with a Use this tab button.
