WHATSAPP / ADMINISTRATORS

Prepare your WhatsApp account and business number

A practical checklist for business details, account access, an existing number and a planned launch with GoDesk.

Updated

Bring this to your setup conversation

  • Your business name, website and customer contact details.
  • The administrator of your Meta business portfolio, which holds your organisation’s business assets.
  • A number the business controls, and a person who can receive the verification code.
  • Details of the current WhatsApp app or provider, if the number is already in use.
  • Your team size, opening hours and examples of service or sales enquiries.
  • The CRM or ERP you want connected, and the specific information you want to exchange.

A WhatsApp Business Account, often called a WABA, holds the business messaging account details. GoDesk will help you identify the assets needed for your agreed connection.

Can I keep my current number and app?

Tell GoDesk how the number is used today before changing anything. We review the available connection or migration route for your account. Confirm whether you can keep using the app, what happens to existing history and any interruption to service.

Keep your current service in place until the changeover plan is agreed. Do not delete the account, disconnect a provider or assume old chats will automatically move into GoDesk.

Document who controls the number and business assets. Keep that access with your organisation so a future change of administrator or provider is manageable.

Agree the setup, then test the workflow

  1. Connect the business assets

The account administrator completes the agreed authorisation, number verification and any business checks requested by Meta. GoDesk confirms the connection.

  2. Prepare the team

Choose authorised agents, conversation owners, quick replies and the sales or support process. Agree the customer permission and template process.

  3. Run a controlled test

Use an authorised test contact to check an incoming message, reply, handover and any configured ticket or follow-up. Check approved templates and message costs.

  4. Start serving customers

Once the setup works, update your customer-facing WhatsApp link or QR code. Make sure the team knows who monitors replies and what to do when an enquiry needs escalation.

Agree a launch date after the account and workflow checks. Number eligibility and Meta reviews can affect the timetable.
