How leads work in GoDesk
In GoDesk a lead is an opportunity in the first stage of a pipeline. There is no separate list of leads: a new enquiry becomes an opportunity, with its contact, straight away.
Pipelines, lead sources and QR codes are part of the Sales add-on and are set up in Settings under Sales. If someone already has an open opportunity, a repeat enquiry from them is added to that opportunity instead of making a duplicate.
Set up your pipelines
In Settings, open Pipelines under Sales. Each pipeline needs open stages, one Won stage and one Lost stage. A pipeline can belong to one team or to any team.
For each stage, set the win probability (%). Deals are weighted by it unless their owner sets their own. Set Stuck after to the number of days a deal may sit in that stage before it is flagged and its owner told (14 if left blank).
Tick Default pipeline on the pipeline new leads use when nothing else is chosen. Untick Active to retire a pipeline.
Under Lost reasons, add the reasons people choose from when they mark a deal lost, such as Chose a competitor.
Add a lead source
In Settings, open Lead sources under Sales and select Add source. Choose Website form, Facebook & Instagram, API / Zapier, or Referral (a named source for leads your team enters by hand, such as a partner, an event or a branch).
Under Where leads land, choose the pipeline and the stage new leads start in.
Under Who gets them, choose Whoever enters the lead, Round-robin across a team (each new lead goes to the next active member), One person, or The team queue (no owner: the team is alerted and someone picks it up).
Under Straight away, choose a First call: a call-now task due within a few minutes or hours, or, if you have the Outbound campaigns add-on, put the lead into a dialer campaign. Tick Alert the owner or team to send a push and email when a lead arrives. To send the customer a thank-you or a brochure, add a Lead messages automation for this source.
Under Grading, give points for what the lead tells you. The total gives grade A, B or C, and call tasks for grade A leads are urgent, grade B high.
Connect a website form or another system
For a Website form, copy the Hosted form page link to use in ads, posts and WhatsApp, or copy the HTML for your own website. Choose what the hosted form asks for, write the Consent text (stored with every lead) and a Thank-you message. Under Websites allowed to use the form, list your sites one per line so the form only works there.
For API / Zapier, select Create key and copy the key at once: it is not shown again. Send leads to the endpoint shown with the key in the X-Lead-Key header. Common field names such as name, phone and email are recognised. Making a new key stops the old one straight away.
For Facebook & Instagram, enter your page details and page access token, then use Test connection and Fetch recent leads. If GoDesk shows that the direct connection is still waiting for approval, connect the campaign through an API / Zapier source in the meantime.
Use Send test lead to check a source, and Recent leads to see every lead as it arrived and what GoDesk did with it: New lead, Added to open deal, Rejected or Failed.
Create a QR code
In Settings, open QR codes under Sales and select New QR code. QR codes are for posters, billboards, flyers and event stands.
Give it a Name, such as Expo 2026 stand, and a short Link code that is easy to type. The link is printed under the code and looks like your workspace address followed by /go/ and the code.
Under A scan opens, choose Choice page (a small page with Fill in your details, Chat on WhatsApp and Call us), Lead form (one of your website forms), WhatsApp (your number with a ready-written message) or Web page (any page, such as an offer on your site).
Select Create QR code. Until the code is created the link does not work, so create it before you print.
Print and track your QR codes
Download the SVG for print (it stays sharp at any size) or a PNG. Tick Your logo in the middle if you want it. Use Try the link to test it on your phone.
Make the code about a tenth of the reading distance: 10 cm for a poster read at 1 m, 1 m wide for a billboard read at 10 m. Print a dark code on a plain light background, keep the white border, and scan a printed proof before the full run.
The QR codes list shows Scans, Last 7 days, Leads and Chats for each code. Leads from a form arrive tagged with the code, and WhatsApp chats arrive tagged with it too.
You can point a printed code somewhere else later without reprinting. To pause a code, untick Active: a scan then shows that the code is no longer active. Deleting a code has the same effect on anything already printed.
If something does not work
If leads are not arriving, open the source and check Recent leads for Rejected or Failed entries, then try Send test lead. For WhatsApp QR codes, check that your WhatsApp channel is connected or that a number is entered on the code.
